intraNET™ enables you to easily set up Routes for documents between Document Manager folders and between Image Manager applications. Once set up, Routes enable qualified users to move documents to other locations within the intranet using a single mouse click. For instance, a franchise organization could set up a “drop box” Image Manager so franchisees can upload digital photos of in-store marketing displays, or maintenance issues at various locations. An authorized member of management can then review each photo and route those needing attention to the private Image Manager of each internal organization.
Note: Routing capabilities are available only to users with “Route” Access Rights. They are not visible or accessible to other users.
Using a Route to Move Documents to a new intraNET location Note: You must have Route privileges to perform this function. If you cannot see the Route choice within a Document Manager folder or an Image Manager application, and you have been told to use this function to perform workflow-related tasks, contact your System Administrator or someone who has Administrator privileges in this area. 1. Within the Route-enabled area, select the document(s) that you wish to move to a specific new location. 2. Click on the Route button
Note: The Select Destination window appears, offering a choice of routes from that location. 3. Select the destination for the selected file(s), and click the Route button
Note: The Select Destination window closes, the documents are moved to the new location, and the source window is updated.
Creating a Route within the Document Manager application
Note: You must have Administrator access to a specified Document Manager application or folder to create a Route. Users with “Route” rights can then use a route once it has been created.
1.
Within the Contents Browser, click on the lock
2. Assign User and Group Rights as needed (see User Administration and Group Administration sections of this Guide). Give “Route” rights to those you wish to route documents to new locations. 3. Click the Routing button. Note that no Routes have been created to take material from this location and no one has created a route to this location from somewhere else in the system. 4. Click the Add New button. Note: The Route Details dialog appears. 5. Within the Outgoing Route Name field, enter a name for the Route.
Note: The Name of the Route should be obvious enough so that if other Users read it, the Route’s purpose is clear to them. 6. Click on the Browse button. Note: The Choose Folder dialog appears. Now you must decide where the outgoing Route will deposit materials. This depends on your access rights.
7. Select the destination Document Manager Folder. Note: The destination folder is now added to the Route Details window.
8. Click Save. Note: The Route Details window closes and the Intra.Net window is updated.
Note: Both the route name and destination location are listed.
9. Click on the Document Manager folder you have been working with and the Route option is available to you, and to all other users who have been given Routing Access Rights. Note: As an Administrator, you can add multiple outgoing routes from each Document Manager folder or Image Manager application. Note: Folders cannot be routed. When an Administrator creates a Route that deposits files within a given Folder or Image Manager location, that Route will also appear under the Routing button for the destination folder.
